Providence is calling an Administrative Assistant 2 (1.0 FTE, Day Shift) to Providence Portland Medical Center in Portland, OR
We are seeking a Administrative Assistant 2 - Wee Care Program who will coordinate and manage all written and oral communication both inter and intra departmentally, assist clients and staff by independently performing secretarial and clerical functions,perform receptionist duties for the department and perform client intake, bookkeeping, recordkeeping and report functions for the program.
In this position, you will:
Determine priority of work load to meet deadlines, given available resources by consultation with involved personnel:
Organize systems for maintenance and programs, i.e., Evaluations, Policies and Procedures.
Process billing, invoices, and requisitions.
Effectively direct communication to appropriate people:
Serve as the initial contact person and receptionist for the Wee Care Department. Provide initial level of response to questions from PSJH staff and community members.
Screen and direct persons and telephone calls coming into the Food Service office appropriately.
Handle inquiries on behalf of Manager and Coordinator in their absence.
Competently perform secretarial and clerical duties:
Compose correspondence and configures reports.
Perform all word processing as needed and assigned
Independently order equipment and supplies, requests and orders.
Develop filing system and maintains filing of correspondence, forms, related materials and resources.
Order and maintain standard office equipment and supplies; calls for repairs as needed.
Responsible for the accurate, timely and reconciled monthly billing of tuition and miscellaneous charges
Responsible for the active collections and documentation of collection efforts of family accounts that owe balances after the monthly due date
Required qualifications for this position include:
High school diploma or GED
Advanced secretarial and word processing training -OR- equivalent educ/experience
Experience working with spreadsheets, PC publishing programs and data bases.
Experience with standard office accounting practices.
Preferred qualification for this position include:
- Experience with Child Care software applications
