Providence Health & Services Administrative Assistant 2 in Portland, Oregon


Providence is calling a Administrative Assistant 2 to the Quality Management and Medical Staff Services Department at Providence St. Vincent Medical Center in Portland, OR. This is a full-time (1.0 FTE), day shift position.

We are seeking a Administrative Assistant 2 that will provide a wide variety of administrative and secretarial assistance for one or more managers in OR QMMSS.

The confidential nature of work requires necessity for discretionary judgment and tact in conversations with all internal and external contact.


  1. Maintaining organization and efficiency to handle multiple responsibilities in various locations.

  2. Maintaining flexibility with various task requests from multiple people.

  3. Maintaining flexibility in response to unexpected changes in work flow and volume.

In this position you will have the following responsibilities:

  • Contribute to the effective functioning of the department by providing clerical assistance, not limited to filing, faxing, and scanning

  • Conduct and receive telephone and personal calls independently without advice or direction from supervisor

  • Support Core Leaders in scheduling meetings and managing daily schedules

  • Convey messages and instructions from supervisor to his/her subordinates

  • Process requisitions, invoices, and personnel forms

  • Opening and screening incoming mail

  • File and retrieve material alphabetically or according to established filing procedures

  • Demonstrate understanding and utilizes tones, tools and behaviors that promote patient safety in a highly reliable organization


Required qualifications for this position includes:

  • Coursework/Training: Advanced secretarial and word processing training -OR- equivalent education/experience

  • Two (2) years of related experience

  • Demonstrated experience in professional communication with all levels of the ministries and regional offices.
