Providence is calling an experienced Administrative Coordinator (also referred to as an Administrative Assistant) to Providence St. Vincent Medical Center in Portland, OR. This is a full-time day shift position. The schedule is 7am-4pm, Monday-Friday. No weekends.

This position will support the Director and Department Managers of inpatient Cardiology, Wound Care, and RN/CNA Float Pool at Providence St. Vincent Medical Center. You will be involved in heavy calendaring for the Director. You will also attend and support department related meetings (by taking meeting minutes, preparing digital and printed documents, etc) . The right individual will have highly proficient MS Excel, Word, and PowerPoint skills. You will enter data and build graphs from the data in Excel, perform mail merges and higher level proficiency tasks in Word, and create PowerPoint presentations. This position will also support the onboarding for new hires and transfers within each department.

In this position, you will:

  • Provide full administrative support at a high level of responsible and of a confidential nature for the Clinical Division Directors of Nursing.

  • Coordinate department purchases, billings, various special projects, and flow of work through Nursing Administration.

  • Initiate production and distribution of nursing chart forms, archival of department files and records, staff reimbursements and travel requests.

  • Develop and maintain filing and other organizational systems.

  • Prepare meeting materials and coordination of meeting scheduling and arrangements.

  • Work with other department and education secretaries to complete the work of the department.

Qualifications:

Required qualifications for this position include:

  • High school diploma or equivalent

  • College level course work in Business Administration, Finance, Healthcare Management, Date Management or related fields

  • Additional training in administrative support skills obtained in business school or equivalent experience

  • 5 years of work experience with 3 of those years in administration office support

  • Experience using a personal computer and software including word processing, spreadsheet, graphics, and publication software in a Windows environment

Preferred qualifications for this position include:

  • 5 years of work experience in the healthcare industry

  • Experience with Internet/Intranet web site development and Internet/intranet publishing including SharePoint services
