Providence Provider Onboarding Specialist in Portland, Oregon


Providence is calling a Provider Onboarding Specialist - Finance (1.0 FTE, Days) to Providence Office Park Portland in Portland, OR. Anticipated work schedule will be Monday to Fridays 8 hours per day shift.

We are seeking a Provider Onboarding Specialist - Finance that will be responsible for collaboration, facilitation, and maintenance of key relationships with internal stakeholders to ensure a successful transition for all new Providence employed providers, those who are transitioning into new roles, and those who are departing. This role is primarily responsible for communicating effectively with providers throughout the onboarding and offboarding process and facilitate people-to-people aspects of provider transitions, including aspects around pre-hire, new employee onboarding, and credentialing-related activity.

In this position you will have the following responsibilities:

  • Implement Providence-wide standard operating procedures into the regional market for the onboarding and off-boarding of all employed Providence providers in the regional market that you support

  • Ensure the successful navigation for the providers through the 167-Point Onboarding Process that includes, but is not limited to:

  • Coordination with HR Service Center (drug screen, background check, etc.).

  • Coordinate credentialing with delegated payers

  • Credentialing with non-delegated payers

  • Government program enrollment

  • Hospital privileging

  • Clinic setup (schedule, office, phone, computer, system access)

  • Orientation (coding education, Providence orientation, compliance training, etc.)

  • To accomplish these responsibilities, the incumbent will perform the following tasks, which may include, but are not limited to:

  • Communicating and coordinating with regional departments when physician has been hired and contract has been signed by physician

  • Ensuring timely completion of all required documentation for new provider hires

  • Coordinating with internal stakeholders to establish goals for onboarding programs

  • Working creatively with other departments to assess appropriate provider onboarding content and delivery

  • Coordinating and sharing best practices and standards to support other the various onboarding programs

  • Communicating needed infrastructure and resources to support onboarding & off-boarding programs

  • Facilitating meetings with clinic leadership team to ensure that onboarding meets the needs of new providers and the local clinic

  • Maintaining understanding of the overall PMG & Providence Health System organizational structure, which incumbent will convey to new providers during onboarding process

  • Coordinating with PMG Operations to ensure all preparations have been scheduled and completed for the physician to begin in the clinic (schedule, office space, staff, etc.)

  • Demonstrating professional means and methods for communication, interaction, and support in working with new PMG & Regional Market employed providers

  • Ensuring the coordination as needed of professional services to provider and family, including, but not limited to:

  • Travel

  • Recruiting site visits

  • City tours and services

  • Relocation services

  • Real estate services

  • Coordinating with Region PMG HR Business Partner to schedule Physician/Employee orientation, New Provider Coding Education and Compliance training, and ensuring that all is completed within two weeks of date of hire

  • Managing the provider onboarding and acquisition SharePoint site for the regional market, and participates in the regional market bi-weekly onboarding/acquisition coordination conference calls

  • Coordinating an annual new provider survey to obtain feedback from physicians and advanced practice providers regarding their acclimation and challenges during the onboarding process

  • Maintaining dashboards for all PH&S Regional Market recruitment activity

  • Initiating credentialing & privileging packets, obtain all physician information and signatures

  • Submitting packets to Medical Staff Office for hospital privileging

  • Coordinating with delegated credentialing committee staff to obtain approval from committee

  • Coordinating the payor credentialing process for non-delegated payors

  • Completing online enrollment in all government programs, including, Medicare, Medicaid, and L&I

  • Ensuring coordination of all regional/system department processes to ensure that physician/provider is completely credentialed/enrolled with all payors prior to the date of hire

  • Coordinating the provider departure process for PMG providers. Includes timely notification to internal stakeholders when provider and/or Providence give notice of a provider termination

  • Collaborate with MSO and IT to ensure that provider IT accounts are appropriately maintained through the termination process


Required qualifications for this position includes:

  • Bachelor's Degree -OR- A combination of education and applicable experience

  • Valid driver's license

  • Driving record consistent with GOP Safe Driving Policy 330 Incident Point Matrix at time of hire

  • Four (4) years of Healthcare experience working with physicians or management in a clinic or hospital setting

  • Experience to identify and solve problems, make decisions, and implement change
