Providence Health & Services Regional Executive Team Coordinator in Portland, Oregon
Providence is calling a Regional Executive Team Coordinator (1.0 FTE, Days) to the Providence Office Park in Portland, OR
We are seeking a Regional Executive Team Coordinator that will be responsible for organizing daily/weekly/monthly work, projects deadlines and deliverables to facilitate goal achievement for their assigned executive. Drawing on excellent written and verbal skills as well as expert-level technical skills in MS Word, Excel, Powerpoint and other office software tools, delivers high quality presentations and reports with minimal direction. Facilitates MS Teams meetings and seminars and provides technical support as needed. Expertly synthesizes meeting and other data to determine next steps and follow ups and acts as "project manager" to ensure follow through with minimal direction. Assumes responsibility for efficient calendar management and administrative functions to support assigned executives. Acts as part of a cohesive and flexible team to support the entire C-suite for the Oregon region.
In this position you will have the following responsibilities:
Partner closely with executive to ensure effective time management and calendar management; looking 30-60-90 days out proactively
Attend executive meetings as requested and prepares succinct notes and distributes outlining decisions, actions and follow-ups to attendees
Proactively prepare exec for meetings and assists with timely follow-through of deliverables and deadlines; coordinates with other leaders as needed to accomplish
Manage/coordinate multiple executive projects concurrently, as needed
Prepare complex presentations and reports with minimal guidance, using MS Power Point, Excel, Adobe, Illustrator, Photoshop or other office software as needed
Create and maintain MS Teams sites (or equivalent) as needed to manage projects
Expertly plan, coordinate and host virtual meetings and seminars, acts as technical expert in virtual meeting set-up, technical troubleshooting and management
Required qualifications for this position includes:
Required Bachelor’s Degree -OR- four (4) years of related experience
One (1) year of Project coordination or management
Preferred qualifications for this position include:
Experience working within a team and with a diverse population
Two years customer service experience with at least one year of that in a healthcare clinical setting
