Providence Health & Services Sales Service Specialist II in Portland, Oregon


Providence St. Joseph Health is calling a Sales Service Specialist II to our location in Portland, OR.

We are seeking a Sales Service Specialist II to support the commercial Account Executives, Account Managers, and Service Representatives account service activities by representing Providence Health Plans (PHP) to existing and prospective clients, producers and other departments via telephone and in person. The Sales Service Specialist serves as an integral member of the Commercial Sales Department and as such influences policies, processes and procedures relating to Commercial Sales.


  • Maintain detailed knowledge of Providence Health Plan products and benefits. Maintain working knowledge of underwriting guidelines and Oregon and Washington statutes pertaining to group insurance.

  • Maintain flexibility in order to provide administrative support to Account Executives, Account Manager and Service Representatives.

  • As the first-line representative of the Sales/Group Service Department, identify potential problems and initiate quick resolution through inter- and intra-departmental channels. Maintain open communication with Account Executives, Account Managers and Service Specialists, consulting with them about issues and steps taken to resolve problems.

In this position you will have the following responsibilities:

  • Respond to and resolve at least 75% of all emails and incoming calls into the Sales/Group Service Department. This requires communication with commercial and group decision makers, producers, and consultants.

  • Responsible for mock up and initial generation of custom benefit summaries.

  • Responsible for online set up, password reset and trouble shooting of the Providence Employer Portal.

  • Initiate and facilitate the completion of requests for prospective group rates.

  • Assist Service Representatives and Account Managers in obtaining and providing renewal and alternate rates and benefits to existing groups within contract deadlines. Responsible for tracking notification and renewal dates.

  • Process and track new group set up according to established guidelines. This ensures accurate billing and issuing of ID cards and contracts.

  • Enter and manage accurate and timely data into the CRM Sales Tracking system.

  • Gather and report competitive rate and benefit information along with reporting special circumstances that may affect PHP's competitive position to Account Executives, Account Managers, or Sales Leadership.

  • Initiate and facilitate the accurate completions of 5500 forms and employer group reports.

  • Work with and assist Producers with navigation, trouble shooting and password reset in the Providence Producer portal.


Required qualifications for this position include:

  • Experience communicating with customers.

  • Cross trained in large and small group renewals or new group set up and quoting.

  • Ability to work in a detail oriented position with demonstrated ability to independently analyze data, situations and problem solve.

  • Proven ability to organize and prioritize in order to meet internal and external required deadlines without prompting.

  • Ability to answer peer questions with clear, concise, correct answers.

  • Ability to adhere to Sales protocols, policies and procedures.

  • Strong oral, written and interpersonal skills with emphasis on courteous and responsive telephone etiquette required.

  • Ability to independently compose basic business correspondence; including but not limited to offering written explanations of Providence Health Plan policies and procedures.

  • Ability to interpret policies and procedures and to effectively communicate those policies/procedures at different levels through clear, concise and timely correspondence to both internal and external customers.

  • Must work cooperatively with others in a fast-paced, team-oriented environment while remaining flexible in an ongoing effort to accomplish team and department objectives.

  • Must be flexible to support continuous quality improvement initiatives which result in a changing work environment. Work well under pressure with frequent interruptions and shifting priorities.

  • Ability to be resourceful and have the judgment necessary to manage time efficiently and handle priorities. Self-directed, with organizational skills and initiative.

  • Excellent problem solving and decision-making abilities required.

  • Working knowledge of Sales and Service processes with basic understanding of health insurance.

  • Ability to appropriately respond to written and verbal instructions in an independent work environment with little supervision while maintaining confidentiality and projecting a professional business image.

  • Demonstrated computer skills with proficiency in Microsoft Office (Word, Excel, and Outlook) and internet with the ability to learn new programs and systems.

Preferred qualifications for this position include:

  • Bachelor's Degree or equivalent eucation/experinece.
