We are seeking a Scheduler and Timekeeper Coordinator - Emergency Services that will provide the following functions: 1) create nursing employee schedules, 2) enter staffing requests such as PTO, MDO, etc. 3) review changes in Kronos on a daily basis (reconciliation of timecards), 4) ensuring the appropriate Pay Code is entered for staff, and 5) approve unit timecards at the close of each Pay Period. All staff schedules will be entered as complete as possible before posting. Timecards will be reviewed for accuracy and edited if needed prior to approval at the close of each Pay Period. A paper copy of changes will be scanned to the appropriate department.
In this position you will have the following responsibilities:
Create a monthly schedule for each nursing unit
Review and edit, as appropriate and in line with PHS policy and procedures, of individual timecards is an ongoing, daily task
Reconcile all timecard exceptions such as missed punches, late punches, early punches, etc.
Process approved schedule changes in Kronos as part of recaonciliation/approval process
Create Kronos reports of approved schedules for completeness to ensure the unit is/are at 'Core Schedule'
Report and schedule will be forwarded to managers if/when requested
Maintain the confidentiality of all staffing/employee information
Cross training among department staff is required, each staff member will have a primary and secondary role with regard to scheduling/timekeeping for specific nursing division and/or units
Demonstrate flexibility with own schedule to provide optimum coverage for the position and the department
Develop a thorough knowledge of PSH policies and procedures as well as contractual agreements
Utilize good communication skills over the phone and in person at all times
Answer the phone promptly and deals with issues and problems in a timely manner
Respond with tact and diplomacy in stressful situations and to the demands from the nursing units
Report verbally or in writing any unusual staffing circumstances to the Manager
Assist in facilitating daily staffing for nursing units. This may require communication with the Regional Staffing Office
Required qualifications for this position include:
- Two (2) years of Experience working with Kronos or other comparable electronic timekeeping/attendance system
Preferred qualifications for this position include:
- One (1) year of Staffing/scheduling experience
