Senior Correspondence and Modernization Specialist

The Senior Specialist, Correspondence and Modernization role is accountable for the timely and accurate processing of incoming correspondence related items in the Epic and MEDITECH environments for hospital billing, physician billing and back office for post acute services, including patient and insurance correspondence for 50 hospitals and over 4,000 clinics across multiple states (AK, CA, OR, WA/MT, Texas and New Mexico). Create and manage Epic Cash Management deposit records (DPRs) for lockbox deposits, paper EOB match to EFT within SLA guidelines. The department is responsible for expedited correspondence processing and modernization including document identification and sort, scanning as necessary, document classification and distribution. The Correspondence and Modernization Department is responsible for the timely and accurate processing of incoming correspondence for both patients and payers with an emphasis on modernization, transformation and standardization of correspondence related processes.

  • Create and manage Epic Cash Management deposit records (DPRs) for lockbox deposits, paper EOB match to EFT within SLA guidelines

  • Identify, resolve and escalate major issues, both basic and complex and service failures that impede success

  • Prepare, maintain and audit item processing reports for reconciliation and retention

  • Maintain confidentiality of all patient demographic, medical, and financial information, ensuring proper handling and disposal of confidential documents and adherence to HIPAA

  • Comply with all applicable Federal, State, and local laws, regulation, and requirements as well as PSJH policies and procedures in all aspects of job performance

  • Partner with the Cash Applications department and Finance/Treasury as necessary to optimize end-to-end cash flow processes

  • Proven developed ability to perform all functional job duties within area of responsibility, exhibiting the ability to recognize workflow deficiencies due to staffing, heavy volume, or unforeseen obstacles and adjusting as necessary to meet departmental service level agreements

  • Responsible for coordinating error resolution with customers and other departments as necessary

Qualifications:

Required qualifications:

  • Associate's Degree in Business / Finance or equivalent education / experience

  • 3 years experience working in a "lockbox" or payment processing environment

  • 1 year experience working in a multi-facility, multi-bank integrated healthcare system

  • Proven, developed experience with Document Management Systems, high-volume scanning equipment, and mail processing equipment

  • Demonstrated experience handling high volume, high dollar, check processing in a multi-facility/multi-bank environment
