Providence Service Major Accounts Representative in Portland, Oregon

Providence Health Plan is calling a Service Major Accounts Representative to our location in Portland, OR. This position will be remote and may pivot to a hybrid model in 2022 working a combination of in office and remote. We are seeking candidates that are available in commute distance to the office in Portland, OR.

We are seeking a Service Major Accounts Representative who will support the Account Managers commercial and ASO (Administrative Services Only) account service activities by providing project coordination and by representing Providence Health Plans (PHP) to the Plans largest and most complex clients. This position is responsible for developing and executing implementation plans, resolving complex issues, and representing the Health Plan at employee meetings, benefit and wellness fairs. Works closely with consultants, third party vendors and other departments via telephone and in person with special expertise in the service of ASO accounts.

MAJOR CHALLENGES:

  1. Maintaining detailed knowledge of PHP products, including fully insured and ASO services, account specific SPDs including related benefit designs, and knowledge of relevant state/federal regulatory requirements related to fully insured and self-funded employers.

  2. Working productively with staff at all levels in all departments to establish and maintain cooperative relationships that facilitate the implementation/maintenance of complex and unique employer account requirements.

  3. Maintaining client-specific service knowledge.

  4. Working with minimal supervision in a fast-paced environment with multiple demands to prioritize.

  5. Professionally representing Providence Health Plan to the Plans largest and most visible clients.

In this position you will have the following responsibilities:

  • Anticipate and resolve complex account issues using a high degree of independent problem solving.

  • As PHP's representative, interact with all levels of major accounts, including public board members, employers, administrative staff, consultants and members.

  • Respond to and resolve incoming calls regarding ASO accounts. This requires communication with ASO group decision makers, agents and consultants. Required to interpret benefits and payment rules. Researches implementation/service issues and make recommendations to Account Executives, Account Managers, Group Service Director and Director-Sales and Account Services for resolution.

  • Proof SPDs, ASAs, Benefit Summaries and other documents for formatting, content and accuracy of benefits (router-level).

  • Initiate and facilitate the accurate completion and processing of broker commission payments and form 5500 request forms, literature requests, and requests for custom ASO reports.

  • Responsible for generating correct routers which establish fees, benefits and contract provisions in the system.

  • Process and track new/renewing group set up according to established guidelines. Ensure accurate billing, issuance of ID cards and Employer Administrative Service Agreements.

  • Enter and manage data in Sales Tracking system.

  • Provide administrative support to Account Manager including but not limited to:

  • Representing him/her on internal workgroups and responding to telephone inquiries from customers and consultants on his/her behalf.

  • Managing related files and other types of document management (electronic and paper).

  • Obtaining and maintaining client access to Workbench reporting.

  • Obtaining and organizing Quarterly Reports for review by Account Manager prior to distribution.

  • Managing the distribution of accurate stop-loss carrier information, including contracts, between Providence, the stop-loss carrier and the client.

  • Establishing and maintaining group specific purchased services tracking tool.

  • Accurately type correspondence, memos, proposals, routers, letters, schedules, reports, agendas, minutes, contracts and overheads. This may include obtaining, organizing and planning suitable presentation of content. Independently prepare responses to inquiries of a general nature.

  • Responsible for project management for implementation of new/renewing major accounts (including ASO). Responsible to communicate any set-up difficulties in a timely fashion. Serve as primary internal Sales contact for implementation of ASO groups when assigned by Group Service Director.

  • Inform Account Manager of trends in set-up/service issues or of issues with specific clients.

  • Communicate with Operations and/or Implementation Team of account characteristics including multiple locations, multiple billings, custom benefits, network specifics, reporting requirements and menued service elections.

  • Organize meetings, travel arrangements and assist in coordinating client service events.

  • Maintain a cell phone for purposes of maintaining contact while in the field.

  • Maintain automobile and adequate insurance for travel on a limited basis.

Qualifications:

Required qualifications for this position include:

  • Bachelor's Degree -OR- experience in all aspects of employer-sponsored benefit plan administration.

  • Valid driver's license required.

  • Oregon and Washington Insurance license. Must be obtained within six months of hire.

  • 3 years Experience working in insurance or TPA industry or in plan administration for a self-funded employer required; 5 years preferred.

  • Successful experience with preparing and delivering presentations to audiences of any size.

  • Experience communicating with customers in person, by telephone and in writing.

  • Experience working in a detail-oriented position with demonstrated ability to independently analyze data and situations and problem-solve.

Preferred qualifications for this position include:

  • ASO experience.
